Privacy Policy

Last updated September 11, 2026

FindMyShot helps event hosts share photos and helps guests find the photos they're in. This page explains, in plain language, what we collect, why, and how long we keep it.

Gallery availability and photo storage

Each album shows its gallery expiry date. When that date passes, guest access closes. The studio can extend the gallery to reopen access. Expiry does not automatically delete the stored photos or their face data. Hosts can remove photos from their dashboard; albums with unfinished payments may require support for deletion. Keep your own backup.

We don't save your selfie or your face data

When you take a selfie to find your photos, it's used only to compare against the event gallery in that single moment — the selfie image itself is deleted from our servers immediately after the search finishes, and we never store an embedding (a mathematical representation of your face) from it.

Photos added to an event gallery are different: we do run face detection on those (so they're searchable) and store the resulting face data alongside the photo. That face data is removed when its photo is deleted.

What we collect

  • Photos you or your guests upload to an event gallery, and the face detection data extracted from them.
  • Guest contact info you choose to provide when uploading (name and WhatsApp number) — both optional.
  • Basic technical data (a hashed IP address and browser identifier) used only to enforce upload limits and block automated abuse.
  • Account info for hosts who sign up (email and organization details) to run their event galleries.

Who else sees this data

We use a small number of infrastructure providers to run the service, and don't sell or share your data beyond what's needed to operate it:

  • Cloudflare — stores uploaded photos (R2 storage) and provides bot protection (Turnstile) on upload and search forms.
  • Railway — hosts our application servers and database.
  • WhatsApp — only if a host chooses to share their gallery link via WhatsApp; we don't message guests without the host's action.

Guest uploads and visibility

Photos a host marks public are visible to anyone with the event link. Photos matched to a specific guest via face search are only shown to guests whose selfie matches them. Hosts can turn guest uploads and AI matching on or off at any time from their event settings.

Your choices

You can ask for your photos or guest data to be deleted. Hosts can delete individual photos from their dashboard. Albums with unfinished payments may require support for deletion. Contact us using the details below for anything the dashboard doesn't cover.

Changes to this policy

If we change how we handle your data in a meaningful way, we'll update this page and change the "last updated" date above.
